Attendees, events and registrations sync from Cvent into HubSpot on a schedule.
Cvent stays the system of record for events. The sync runs one way in. HubSpot never writes back.
Cvent holds the event, the invitee list and the registration. HubSpot holds the contact, the marketing and the pipeline. Most connectors map the Cvent payload straight onto the contact record.
That holds for one event. On the second event, the status, the confirmation number and the registration date are overwritten. A delegate who came to four events shows one registration: the most recent sync.
Two questions then have no answer in HubSpot. Which contacts registered for a given event. Who comes back.
A contact is one record per person. A registration is one record per person, per event.
The person becomes the HubSpot contact, matched on email address. Their relationship to the event becomes a registration record of its own. The event becomes a record too, so marketing can build lists and reports without opening Cvent.
Attendee and invitee data creates or updates the contact. Registration status, date, confirmation number, admission item and fees sit on a separate registration record. One record per person, per event, so nothing is overwritten.
Event name, code, category, dates, location and capacity sync to an event record. Every registration links to its event and to the contact who made it. Session-level attendance is added where you need to report on it.
Cvent carries a company name typed by the registrant and no company record. We match on email domain and associate the contact to a company you already hold. No match means no association, rather than a new company built from a typo.
