How to read this doc

Each section below is a consolidated cross-section view (e.g. requirements from all eleven departments in one table). Where useful, the per-department breakdown is preserved with a section pill in the leftmost column. For the three shared reference pages with hundreds of fields each (Leads Fields, Opportunity Fields, Property Stock Fields), the tables are collapsed by default — click to expand.

MUST HAVE Not present currently but needs assessment on gravity forms. Currently, we have gravity forms and hubspot forms. To assess if lead scoring works with gravity forms. If not, it will be parked for website redesign.
1. Marketing Database Mining & Allocation
As a Marketer, I want to ensure there isn’t any leakage in the database and that we can automatically mine and reopen opportunities based on condition workflows to reallocate to the PECs.

MUST HAVE When a PEC updated the “Application Type” field on the lead record to “single” or “joint”, a Finance Data Collection record is automatically created. The sheet auto-populates all relevant financial and personal data from the lead record. When updating the google sheet, it isn’t necessary for the information to go back into the lead. On lead conversion, the finance data collection is transferred to the MasterOpp, where it can be accessed (in a folder). @Chierag Mattoo do you need an example of this form here?
3. Discovery Broker Finance assessment completed email automation
Confirms the broker has completed their appointment with the client. This happens when master opp stage changes from registered to finance assessed.
MUST HAVE @Chierag Mattoo send current email template to make changes. @Tom McCallum to share template with C.
3. Discovery DC Section on Lead
These sections are what the DC’s fill in from the lead record after completing the registration: *[Image: embedded in original Confluence page]*
MUST HAVE Captures all the required DC inputs post registration. What’s crossed off are fields that are not required. Fields will either have a drop down (Booking Sat outcome status) or notes (Sat without registration notes).
4. PWP AIRCALL VIA CRM
Client calls both incoming and outgoing
MUST HAVE Ability for calls to be made either via CRM or mobile phonconnected to CRM which then auto logs the call
4. PWP CALENDLY
Discovery consultants currently book the Strategy session via calendly through the CRM which then auto updates the booked SS date and time field in the CRM and sends the client confirmation emails etc. After the SS, the WP also books the Property Selection via the calendly link in the CRM which again updates the CRM PS booked date and time etc. The contracts team also use calendly to book a contract signing session with the WP after EOI.
MUST HAVE For discovery consultants to book strategy sessions with planners and for planners to book their property selections
4. PWP FINANCE DATA COLLECTION
via lead record > fact find > property strategy tool / rollover > PWP Workbook. This document is automatically created (cloned via original doc which lives in g drive) by the CRM once the PEC updates the required financial details in the lead record. A folder is created with the fact find doc within it. Once the lead record is converted to a master opp, the folder link carries over also. The Discovery consultants and WP’s present this finance data collection doc to the client and update their sections accordingly. The DC and WP’s also snip sections from this document into the property weath plan pdf doc which is emailed to the client after the strategy session. Also important to not when the discovery consultant updates the clients financial info in the fact find, it backward updates the CRM.

4. PWP Property Allocation and Selection Process and rules
The goal is to provide a prioritized, filtered list of stock options to the wealth planner based on client requirements (such as borrowing capacity and property type) right within the master opportunity record. Essential filters available on the master opp would include the maximum purchase price, the target state(s) for purchase, and the purchase type (SMSF or personal).
MUST HAVE Upgraded process for the system to provide property stock options based on specific strategy input into the CRM by planner to more effectively reserve stock options and ensure they are not reserving options which do not align with the customer's finance capacity.
4. PWP Property Reservation Process and rules
Reservations could be made three days before the property presentation date and that the client must upload the Expression of Interest (EOI) within three hours of the appointment. If the EOI, ID documents, and other requirements are not submitted correctly and within the allocated time, the stock is automatically opened up to the next person in line.

4. PWP EOI & Doc sent to Customer Process (using esignature app)
The current EOI process involves the wealth planner initiating a separate DocuSign EOI outside of Salesforce. integrate the ROI generation directly into the CRM, where the wealth planner could generate a real-time DocuSign document pre-populated with data from the master opportunity. This automation would ensure data accuracy, reduce data entry, and instantly notify the contracts team upon customer sign-off. Current App is docusign. However we may choose another app with direct connection to Hubspot.
MUST HAVE Currently the team have to manually import all of the information into DocuSign templates, which takes time and is not productive and also allows for human error.

Call Wrapping Automation:** When a PEC makes or receives a call they need to easily update the following: Update call notes field (stamped with date and owner name) Tag the call with a 'wrap code' that will then update lead category, closed reason and nurture reason depending on the wrap.
